How to make a signup sheet online

A signup sheet does one job: it turns “who’s bringing what?” into a list that fills itself. You need three things — a list of slots, a link people can open on their phones, and confirmations so nobody has to ask “did my signup go through?” Here’s the whole process, start to share, in about a minute.

1. Pick the structure

Every signup sheet is one of three shapes. Items — people claim things to bring (potlucks, supply lists, food drives). Time slots — people book a time with you (conferences, appointments, tryouts). Shifts — people take a named job with a capacity (volunteer crews, snack weeks, carpool days). Pick the shape first; everything else follows from it.

2. Add the slots

For items and shifts, list what you need with how many of each: “Main dish — 4”, “Setup crew — 3”. Be concrete: “Setup crew, 8–10am” fills faster than “Volunteer”, because people can see exactly what they’re agreeing to. For time slots, don’t type times by hand — use a generator: give it your start, end, and slot length, and a full day of bookable times appears at once.

3. Share one link

Post the link where your people already are — the class group chat, the team thread, the church bulletin (as a QR code). The sheet should work on a phone without anyone creating an account or downloading anything; if your tool makes participants register, they won’t, and you’ll be back to collecting names by text.

4. Let it run itself

A good sheet handles the aftermath: everyone gets a confirmation with a private link to change or cancel their own signup, reminders go out before the event, and a cancellation offers the spot to the waitlist automatically.
