Volunteer schedule template

Named shifts with capacity — setup crew, greeters, cleanup.

Volunteer coordination falls apart when nobody knows how many people each job needs. Named shifts with capacities show exactly where the gaps are — and volunteers pick the job they actually want instead of being assigned one.

How to run it well

  • Name shifts by task and time ("Setup crew, 8–10am"), not just "Volunteer #3" — people sign up faster for concrete jobs.
  • Set realistic capacities; a shift showing 0 of 4 filled recruits harder than a vague "we need help".
  • Add a floater slot for reliable people who'll fill whatever gap appears on the day.
  • Send one blast midweek if key shifts are still open — it goes to everyone already signed up, who know people.

Why SlotsFilled? Participants never create accounts, everyone can edit or cancel their own signup from their confirmation email, reminders go out automatically, and the sheet prints cleanly for the clipboard crowd.
