How to schedule parent-teacher conferences
Conference scheduling is a matching problem: twenty-some families, one teacher, a fixed window. Solved by paper form or email thread, it takes a week and still produces conflicts. Solved by self-serve booking, it takes the time needed to write one newsletter line.
Set the window once
Decide your available blocks — say 3:00–7:00 on conference day, with a dinner break — and your meeting length. Then generate the slots rather than typing them: start, end, duration, done. Twelve 20-minute slots appear in one click, each one bookable exactly once, so double-booking is structurally impossible instead of carefully avoided.
Pad the meetings
Fifteen-minute conversations do not fit in fifteen-minute slots. Either generate 20-minute slots for a 15-minute talk, or schedule a 10-minute catch-up gap every fourth slot. The buffer is invisible when you don’t need it and saves the whole evening when you do.
Let parents book themselves
Share the link in your newsletter and the class app. Parents pick a time from their phone in under a minute — no account, no app, no login. Each booking sends a confirmation with a calendar invite, and the parent gets a private link to move or cancel their own slot, which means schedule changes stop flowing through your inbox.
The day before
Reminders should go out automatically to everyone booked — that’s where no-shows die. Print the sheet for your door: booked slots show names, open ones print as blank ruled lines a walk-up family can still write on. The paper sheet and the online sheet are the same sheet.
The conference template is prewired for the generator — set your window, publish, paste the link in the newsletter. Start free; no ads for you or your families.
